You’re on a roof, under a sink, or halfway through a sales presentation. The phone buzzes. You can’t answer. The homeowner hangs up and calls the next company on Google.

That’s the most expensive moment in a home service business, and it happens dozens of times a month.

Missed-call text-back fixes it. The moment a call goes unanswered, the caller gets a text from your business. The conversation keeps going instead of ending in a voicemail nobody listens to. This post gives you the texts to use and, just as important, what to say after they reply.

Why the first few minutes matter

When someone calls a contractor, they’re usually ready to act. Research on lead response backs this up: the 2007 Lead Response Management Study found that reaching a lead within 5 minutes instead of 30 made contact about 100 times more likely. A text that arrives in seconds tells the caller “we saw you, we’re on it” before they dial the next number.

The goal of the first text isn’t to sell. It’s to get one reply.

What every missed-call text needs

  1. Who you are. Your business name, and your first name if possible.
  2. That you saw their call. So they don’t assume you ignored them.
  3. When you’ll get back to them. Be honest: “within the hour,” “first thing tomorrow.”
  4. One easy question. Something they can answer with a few words.
  5. A way out. For anything automated, “Reply STOP to opt out” keeps you clean with carriers.

The templates

Business hours (you’re on a job)

“Hi, this is [Name] with [Business]. Sorry we missed your call, we’re on a job right now. What can we help you with? We’ll call you back within the hour.”

After hours

“Thanks for calling [Business]! We’re closed for the day, but we got your call. What’s going on? Reply here and we’ll get back to you first thing in the morning.”

Weekends

“Hi, it’s [Business]. We saw your call and we’re off for the weekend. Tell us what you need and we’ll reach out Monday morning. If it’s an emergency, reply URGENT.”

Emergency trades (plumbing, HVAC, roofing, tree)

“This is [Business], sorry we missed you! Is this an emergency (active leak, no heat, tree on the house)? Reply YES and we’ll call you right back. Otherwise tell us what’s going on and we’ll reach out shortly.”

Estimate-based trades (remodeling, hardscape, roofing replacement)

“Hi, it’s [Name] at [Business]. Sorry I missed you, I’m with a customer. Are you looking for an estimate? Send me your address and the project, and I’ll get you on the schedule.”

Recurring service (lawn, pest, pool, cleaning)

“Thanks for calling [Business]! We missed you but we’re on it. Are you looking to start service or have a question about an existing visit? Reply here and we’ll take care of you.”

What to say after they reply

The text buys you time. It doesn’t book the job by itself. When the caller replies, answer fast and move toward a booking.

They describe the problem:

“Got it, thanks [Name]. We can take care of that. I have [Tuesday at 10] or [Wednesday at 2] open for a visit. Which works better?”

They ask about price:

“Great question. Every job is a little different, so we give free estimates in person. It only takes about [20 minutes]. Would [Tuesday at 10] or [Wednesday at 2] work?”

They say it’s urgent:

“Calling you right now.”

Then call. Don’t text back and forth about an emergency.

They don’t reply:

“Hi [Name], just making sure you got taken care of. If you still need help with [service], reply here and we’ll get you scheduled.”

Send that once, a few hours later. If there’s still no reply, let it go.

Common mistakes

  • Writing like a robot. “Your call is important to us” gets ignored. Write like you’d text a customer yourself.
  • Asking too much. “Please provide your name, address, service needed and preferred time” feels like a form. Ask one thing.
  • Promising a time you can’t keep. If you say “within the hour,” call within the hour.
  • Turning it into a promotion. Keep it about why they called. Coupons and promos belong in campaigns sent with marketing consent.
  • Nobody watching the replies. A reply that sits unread for six hours is a lost job. Get notified on your phone.

Your missed-call setup checklist

  • Different texts for business hours, after hours and weekends
  • An emergency path if your trade handles emergencies
  • Every text asks one easy question
  • Business texting registered (A2P 10DLC) with your provider
  • Replies go to your phone so you can answer within minutes
  • Two specific appointment times ready to offer
  • One follow-up for callers who don’t reply

Frequently asked questions

What should a missed call text-back say?
Say who you are, that you saw their call, when you'll call back, and ask one easy question about what they need. Keep it under about 300 characters and make it sound like a person.
Is missed call text-back legal?
Replying by text to someone who just called your business about a service is generally treated as responding to their inquiry. Keep the message about their request, register your business texting with your provider, and honor STOP immediately. Promotional texts need separate consent.
How fast should a missed call text go out?
Within seconds. The caller often dials the next company on the list right away, so the text needs to arrive before they do.
Does missed-call text-back work with my existing business number?
Usually, yes. Many systems either forward calls from your current number or add text-back to the number you already advertise. Ask your provider how they handle your setup before you switch anything.
Should I still return the call after the text goes out?
Yes. The text keeps the caller from moving on, but a quick call back is still the fastest way to book the job. Use the text reply to know what they need before you call.
